TERMS AND CONDITIONS

Thank you for choosing to stay with us at The Cimon.

By booking a room at The Cimon, you are agreeing that you and all members of your party agree to and are bound by the Terms & Conditions detailed below. Your reservation is made with The Cimon and represents a legally binding contract between you and The Cimon. 

If you have made your booking via a third party website, such as Booking.com, your contract of booking is with us and not them, and therefore our detailed Terms & Conditions published on our own website (www.thecimon.co.uk) will take precedent and you are bound by these automatically.

  • CHECK IN

    Check-in operates from 14:30 to 20:00. Early check-in may be arranged, subject to availability, for a service charge of £25 from 12.30. Please contact us to discuss. If you are delayed on the day of arrival with traffic etc then please call to keep us informed of progress.

  • CHECK OUT

    Check-out time for all rooms is 10:30. Late check outs may be arranged, subject to availability, for a service charge of £25 up to 12 noon. Please book 24 hr in advance with a staff member. Please note reception facilities are not available between 08.00 – 09.30. Should you wish to depart during this time please settle any outstanding monies on the day prior to departure. Room keys can then be handed to a member of staff at breakfast.

  • LICENSED BAR

    Our bar is open to Guest House residents. There is a good range of beverages available to drink in the relaxing bar or lounge, by the pool or in the conservatory. As a licenced premise, guests may not consume their own alcohol in any of the public areas.

  • CONSUMPTION OF FOOD

    Take away/ delivery food is not permitted in any area including bedrooms.

  • SWIMMING POOL

    The pool is open from early May to September and can be used throughout the day. Night time swimming is not available. Pool rules need to be observed and are posted for your safety at the poolside. There is NO life guard on duty so lone bathing is not permitted. Children under 16 years must be supervised by parent/s or guardian/s at all times. We reserve the right to close the pool at any time for safety reasons, for example adverse weather conditions.

  • PARKING

    Each room is allocated 1 parking space. If you are bringing more than 1 car per room, or a larger vehicle, please call in advance to discuss. The Cimon accepts no liability for any loss or damage to vehicles whilst on the premises.

  • WORKING DOGS

    We welcome registered assistance and guide dogs. We have 1 allocated ground floor room which we are able to adjust to accommodate a working dog. Please advise us at the time of booking if you are likely to be accompanied by a registered assistance / guide dog so we can make suitable arrangements for your assistant, and organise enhanced allergen cleaning of the room following your stay. Please note, your assistant’s registration number is required at check in.

  • PETS

    We do not accept pets of any type. If we believe you have not adhered to these terms the party and associated guests will be required to immediately vacate the property and a charge will be made against the room booker for the remaining balance due for the accommodation booked, plus we reserve the right to charge £150 cleaning costs to return the room to its original condition.

  • MEDICAL CONDITIONS

    If you or any member of your party has a medical condition, allergy or disability which may affect your stay, please call us to advise us so that we can make provision for the particular need(s) of the persons(s) concerned, or advise you if we are unable to make such provision.

  • CCTV

    The building is equipped with 24 hour recording CCTV for the safety and security of guests and the premises.

  • PROBLEMS DURING YOUR STAY

    If anything interferes with the enjoyment of your stay, please let us know so we have the opportunity to resolve the matter quickly.

  • SMOKING/VAPING/E-CIGARETTES

    A designated smoking/vaping/E-cigarette area with cigarette bins is located outside the building at the top of the drive. 


    A no smoking/vaping/E-cigarettes use policy is in place throughout the premises. If we believe smoking of any type has occurred within the Guest House, the party and associated guests may be required to immediately vacate the property and a charge will be made against the room booker for the remaining balance due for the accommodation booked plus £150.00 for the cost of deep cleaning the room and up to 3 night’s accommodation cost to cover the expense and time necessary to return the room to its original condition. In addition, any costs associated with finding alternative accommodation for subsequent guests due to use the room will be charged. Such costs will be charged, without prior consent being required, to the card provided for the room booking.

  • CONDUCT

    The Guest House reserves the right to eject any guest who does not comply with our terms & conditions or whose behaviour we deem to be threatening, abusive or otherwise inappropriate. In any instance, if you are asked to leave, any monies paid will not be refunded and the full cost of the booking and any other charges are payable immediately.

  • ACCIDENTAL DAMAGE

    Sometimes accidents happen either in rooms or on Guest House property. Please let us know as soon as possible so that we can fix the matter in a timely manner. Sometimes swift action can make all the difference. We do reserve the right to charge for any damages, accidental or otherwise caused, and make a compensation charge for any interruption to the business of The Cimon. 


    We reserve the right to charge for damage to beds through negligence or known medical conditions. Damaged or soiled beds are replaced on a like for like basis immediately.

  • LOSS OF KEYS

    If you do not return or lose your keys we will charge £100 to replace the commercial keys and fob.

  • LOST PROPERTY

    It is your responsibility to contact us should you think you may have left an item behind. Should you wish an item to be returned, a minimum of £10 will be charged to cover postage, packing and administration. Please note we shall dispose of items not claimed the subsequent week.

  • ADDITIONAL GUESTS

    Accommodation prices are per room, per night based on the guests agreed at time of booking. If you wish to add guests please refer to our pricing policy and contact the Guest House to confirm amendments in advance of your stay. Unregistered persons found in the accommodation without the prior permission of the proprietors will be charged £75 per night.

  • PAYMENT

    Payment for accommodation and any other services, such as meals, is due prior to departure. Debit cards, most major credit cards and cash are accepted and are free. We do not accept cheques.

  • VAT

    Prices include VAT at the applicable rate. A VAT receipt can be issued by email or in hardcopy on request.

  • SECURING YOUR BOOKING

    All bookings require a deposit, card details are required as part of the booking process; although this card does not have to be used when settling your account. Card details are noted at time of booking to verify the authenticity of the booking. In providing credit/ debit card details with your booking, you authorise the charging of fees or additional monies in accordance with our terms and conditions, without prior consent being required, to the card provided. Validity checks may be carried out on the card details provided. If we fail to receive payment, we reserve the right to reject the booking at any point.

  • CANCELLATIONS / PART-CANCELLATIONS / ALTERATIONS:

    We recommend you have Travel Insurance for your stay as cancellations or changes to your booking will normally incur fees. Should you need to cancel, part-cancel, or alter your booking, please inform The Cimon immediately. If booked through a third party, such as Booking.com, you will also need to contact them to cancel the booking.


    For flexible bookings, provided notice is received more than 14 days before your arrival date we will refund the deposit. Should you cancel or alter a booking, for any reason, within 14 days of the arrival date you will remain liable for the full accommodation cost and any additional items requested for your stay.


    If, after arrival, you need to shorten your visit, you remain liable to a charge equal to the full value of the booking.


    If you fail to arrive without giving notice you will be liable for the full cost of the reservation made.


    For non-refundable bookings the full amount will be applied for at the time of booking. There is no refund after booking.

  • GROUP BOOKINGS

    Group bookings are only accepted by prior agreement with the proprietors. We reserve the right to cancel any unauthorised groups booked on-line either through our own website or a third party site on or before arrival. 


    Due to the nature of group bookings, whereby large numbers of rooms are reserved for a period of time, we will agree on a case by case basis the deposit required to secure the rooms. Cancellation terms will be agreed and confirmed in writing per group booking reservation. Unless otherwise agreed - any cancellations made within 6 months of the arrival date will retain the deposit fee. Any cancellations made within 3 months of the arrival date will remain liable for full charge on any accommodation booked. 


    We reserve the right to charge a per person bond which will be kept should there be any damage or disturbance whatsoever.

  • ACCOMODATION UNAVAILABLE

    We will make every effort to ensure you stay in the room type you have booked. If this is not possible we will offer a room of equivalent standard within the guest house.


    In the unlikely event that accommodation is unavailable within the Guest House, e.g. due to damage, failure of equipment or any other reason, we will make every effort to inform the guest as soon as possible, and will assist in finding similar alternative accommodation. Liability will be limited to the return of monies paid covering the period concerned.

  • CLOSURE

    The Guest House reserves the right to close facilities for emergency maintenance or to cancel all reservations at their absolute discretion, in which event they shall refund any deposit paid and thereafter accept no further responsibility.

  • GENERAL DATA PROTECTION REGULATION (GDPR) 2018

    The Cimon respects the privacy of its guests and has in place the required security procedures for the storage of personal data. Personal Data is held on our Management system either because of work we have undertaken or are currently engaged in, or because we believe that guests may be interested in receiving material from us about our business and services.


    In accordance with your rights under the Act, you may request the amendment of the personal information held or to cease receiving direct marketing materials. The Cimon does not sell, rent or deal in the personal data we hold.

  • PRIVACY POLICY

    Julia Southby and James McCrossan own The Cimon. We value our guests and appreciate the need to manage your personal information securely and in confidence.


    Data we hold can include but is not limited to, name, address, telephone numbers and email address. When required, we record passport numbers to comply with UK law. We may note car registration numbers for the purpose of parking on site. We may hold data relevant to your stay such as medical details or dietary requirements.


    Our credit/debit card transactions are handled by Worldpay and the data is held by them and by our channel manager FreeOnlineBooking on their own respective servers. The storage of receipts for payments made on site using a card terminal meets PCI DSS requirements.


    Data can be held in both electronic and paper formats. We do not hold data for longer than is required by UK law.

    24 hour CCTV operates at our premises. The period of time this can be accessed complies with legal standards.


    We do not share information with third parties. If required by UK law we will pass specific data on to UK authorities such as the Police or Immigration.

    In order to keep you informed of special promotions available to guests who have already stayed with us we may email you. We generally do not send more than 6 emails a year.


    This Privacy Policy applies solely to data collected by us. Our Website may contain links to external sites, operated by other owners and third parties, over which we have no control. Any access to such other websites or pages is entirely at your own risk.

  • Wi-Fi ACCESS

    We provide wireless internet access free of charge to our guests who agree to abide by the following terms and conditions whilst using our internet connection. If you use of our Wi-Fi connection it is presumed that you have read and understood these conditions.


    You will be connecting to a public network, The security of your internet browsing device is your own responsibility. We recommend the use of frequently updated firewall and anti-virus software.


    EXTENT OF THE SERVICE


    We do not recommend the use of any websites (or other internet related services) (“The Service”) and your use of The Service is carried out entirely at your own risk.


    We have no responsibility for, or control over, the Internet Services you access and do not guarantee that any services will be available or are error or virus free.


    We have no responsibility for, or control over, the information you transmit or receive via the Service.


    Save for the purposes of network diagnostics we do not examine the use to which you put the Service or the nature of the information you send or receive.


    WE DO NOT GUARANTEE


    The availability of the Service; the speed at which information may be transmitted or received via the Service; or that the Service will be compatible with your equipment or any software which you use.


    We do not guarantee the security of the information which you may transmit or receive using the Service or located on any equipment utilising the Service and you accept that it is your responsibility to protect your information and have adequate security (in terms of equipment and procedures) to ensure the security, integrity and confidentiality of your information and data.


    We reserve the right at all times to withdraw the Service, change the specifications or manner of use of the Service, to change access codes, passwords or other security information necessary to access the service.


    We have no responsibility to compensate you (whether or not we are negligent) for any direct financial loss, loss of profit, revenue, time, anticipated savings or profit or revenue, opportunity, data, use, business, wasted expenditure, business interruption, loss arising from disclosure of confidential information, loss arising from or in connection with use of the Service or inability to use or access the Service or a failure, suspension or withdrawal of all or part of the Service at any time or damage to physical property or for any other similar direct loss that may arise in relation to this agreement whether or not we were advised in advance of the possibility of such loss or damage.


    We agree that neither this agreement does not allow either party to act as, or hold themselves out as, acting as an agent of the other party and that the terms of this agreement are not enforceable by a third party under the Contracts (Rights of Third Parties) Act 1999.


    This agreement is governed by the law of England and Wales and is subject to the non-exclusive jurisdiction of the English courts.
